Reception & Administration Assistant

Weโ€™re currently working with a well-established professional organisation to recruit a Reception & Administration Assistant to support their busy office environment. This is an excellent opportunity for someone who enjoys being the first point of contact, thrives in a varied role, and takes pride in keeping things running smoothly behind the scenes.

The Role:

This position will provide day-to-day administrative and reception support to the Secretarial team and wider business. Youโ€™ll play a key role in ensuring visitors, staff, and external contacts receive a professional and welcoming experience at all times.

Key Responsibilities Include:
  • Opening the office and reviewing overnight messages
  • Receiving, logging, and distributing incoming mail and courier deliveries
  • Preparing outgoing courier shipments and associated paperwork
  • Managing switchboard calls and directing enquiries appropriately
  • Providing front-of-house reception, welcoming visitors and clients
  • Coordinating visitor access including Wi-Fi requests
  • Supporting catering and transport arrangements for meetings and visits
  • Updating internal systems with office visit details and staff information
  • Monitoring stock levels and ordering office and courier supplies
  • Providing reception and switchboard cover for additional office locations when required
  • Assisting with general administration tasks such as purchase requisitions and ordering supplies
  • Supporting facilities and admin teams with ad hoc duties and process improvements
What Weโ€™re Looking For:
  • Strong reception or office administration experience
  • Confident and professional communicator, both in person and over the phone
  • Highly organised with the ability to prioritise and multitask effectively
  • Comfortable using IT systems and learning new processes
  • A customer-focused approach with a friendly and proactive attitude
  • A basic qualification in Maths or English (or equivalent)
